Demonstrates experience and proficiency with QuickBooks / online QuickBooks

Demonstrates experience and proficiency with Excel

Assists the church treasurer

Ensures purchases are approved and within the budget

Prepares & approves vouches for expenditures

Ensures payables and payrolls are made on a timely basis

Maintains financial records of the church:

Enters weekly contributions into new cloud based database (Servant Keeper)

Maintains individual contributions records for all members’ contributions

Processes and mails quarterly statements

Keeps records of all memorial gifts and other restricted funds

Maintains and enters stewardship records

Monitors the collection, counting, recording and depositing of parish revenue from all sources

Processes and deposits weekly contributions

Prepares monthly and year end reports for CPA and for parish

Assists and works with CPA

Signs checks


Works with junior warden and obtains bids on facility projects

Submits bids to Finance/Building and Grounds Committee for approval

Develops policies, procedures and fee structures for use of church facility

Maintains facility calendar

Orders and obtains all church and office supplies including, kitchen and pantry supplies

Ensures the building and grounds are well-maintained and repairs are completed

Facilitates adequate set-up and clean-up for church events

Supervises cleaning service

Church Membership

Initiates contact of new members by phone

Maintains new cloud based data base for membership information, produces needed lists, labels, etc.

Updates parish directory


Records memorial contributions

Maintains memorial log book and sends memorial acknowledgments


Maintains personnel records

Recruits, interviews, and trains lay personnel and facility volunteers

Implements personnel records, policies and procedures

Insures compliance with federal and state personnel and payroll guidelines

Hires and schedule childcare providers

Office Management

Provides supervision (includes handling incoming calls, transients, distribution of mail, data management and office supplies)

General Administrative Duties

Assists Committee Chairpersons

Compiles monthly reports for Vestry/Stewardship meetings

Coordinates the Annual Parish Meeting

Oversees the maintenance of office computers, copiers and other office equipment

Assists with the development of public relations and advertising for the church

Oversees insurance programs

Completes necessary paperwork and coordinates events such as weddings, funerals, baptisms and Confirmations with parishioners

Assists in arrangement of church activities

Maintains church calendar of facility usage

Monitors the church security system

Shops at SAMS or Office Depot to collect needed supplies
